What's included in a Live Profile?

When you create a Live Profile, here is what you can change/save:

General

Q. What is a Live Profile?
A Live Profile is a pre-configured, centrally managed browser environment that can be deployed to your team. It includes apps, extensions, settings, and more, customized for your organization.

Q. How many Live Profiles can I create?
With a Wavebox Teams account, you can create up to 3 Managed (Live) Profiles. To create more, please upgrade to a Wavebox Enterprise plan—contact sales@wavebox.io.


Privacy & Security

Q. Can everyone connected to the same Live Profile see each other's browsing activity?
No. Each user’s browsing data—including cookies and browsing history—is private and not shared with others, including admins. However, if users log into web apps using the same credentials, data within those apps will be in sync.

Q. Is Wavebox secure for sharing passwords?
Yes. Passwords are fully encrypted and never shared via the cloud. They are transferred directly from client to client and are protected by a master password set by the admin.

Q. Will removing a group or app affect user bookmarks or other personal data?
No, removing a group or app only deletes it from the Live Profile. Personal bookmarks, which are not managed by Live Profiles, are not affected. However, data stored within that app (such as cookies or sessions) may be lost.


Publishing & Updates

Q. What happens when I click Publish?
Any changes you’ve made to the Live Profile since the last publish will be instantly applied to all users.

Q. Does publishing a new update overwrite users’ personal changes?
No. Updates will add or remove items as configured by the admin but will not overwrite user-specific changes, like opening or closing tabs within the profile.

Q. Will publishing a new update interrupt users’ Wavebox sessions?
No. Updates happen instantly in the background and do not interrupt active sessions. However, removing groups, apps, or tabs may close those for users, so notify them beforehand if needed.

Q. How will users know when I push out an update?
Admins can notify users in any way they choose, such as using Connect, sending a message, or placing a Sticky Note widget in a shared dashboard.

Q. What should I do before making major changes to a Live Profile?
It’s best practice to inform users before deleting or modifying groups, apps, or tabs to avoid potential loss of unsaved data or disruption to their workflow.

Q. Why don’t Shared Dashboards or Connect features need to be published?
Shared Dashboards and Connect features are updated in real time via the cloud, so there’s no need to manually publish changes.


Deletion, Recovery & Backup

Q. What happens if I remove a group, app, or tab and publish the change?
The removed item will be deleted for everyone in that Live Profile. Notify users beforehand to prevent loss of important data.

Q. Can a deleted group, app, or tab be recovered?
Not automatically. You will need to manually re-add the item to the profile and publish it again.

Q. What happens if I remove a user from the Live Profile?
The user will immediately lose access to that Live Profile. They will either see another assigned profile or be returned to the Wavebox login screen.

Q. Are Live Profiles backed up?
Yes, Live Profiles are automatically backed up in the cloud and can be restored if needed. For additional security, you can manually back up profiles via Settings > Data & Sync > Back Up Now.

Q. Is there an audit log or change history for Live Profiles?
No, there is currently no audit log. Admins should consider keeping their own records of major changes for accountability.

Q. Can I delete a Live Profile?
Yes, you can delete a Live Profile via My Wavebox > [Your Team Name] > Live Profiles. Deleted profiles are instantly removed from all users’ menus.


User Permissions & Management

Q. Can users make changes to their Live Profile?
Admin-controlled permissions determine what users can do. “Read Only” users cannot change apps or extensions but can manage their own tabs. Only admins can edit the overall profile.

Q. What happens if a user tries to restore a removed group or tab?
Only admins can restore deleted groups, apps, or tabs by re-adding them to the profile and publishing the change.

Q. Can users belong to more than one Live Profile?
Yes. Users can be assigned to multiple Live Profiles (for different departments, roles, etc.) and can switch between them using the Profile menu in Wavebox.


Installation & Setup

Q. How do users receive a new Live Profile?
When a Live Profile is published and assigned, the user will see it the next time they open Wavebox under the Profile menu (top-right). If they are not already using Wavebox, they’ll receive an invitation email with download instructions.

Q. Do users need to keep their Wavebox app updated?
Yes. Keeping Wavebox up to date is essential for security and performance. Users will be prompted to update when a new version is available.
